Records Clerk/Dispatcher Part Time

Job Summary:
Position is responsible for a variety of clerical tasks related to the accurate recording of legal documents and vital records within the Washington County Sheriff’s Office. Position is responsible for the operation, maintenance and administration of all County equipment used in the recording of above named documents. Provides customer service to the public on a continual basis responding to their inquiries and/or directing them to the proper authority for their requirements. Position handles privileged documents that must be handled appropriately and discreetly. The position works relief on the dispatch desk as needed.

Duties Performed:
Enters into a database such records as traffic citations, police reports, accident
reports, and other activities that have occurred within the Sheriff’s Department. Maintains an organized filing system that allows instant retrieval of case history records. The position works relief on the dispatch desk as needed. Performs other related duties as assigned.

Supervision Received: Chief Deputy or Sheriff

Machines, tools and equipment used:
Must be proficient in the use of personal computers, printers and software programs for recording transactions, Word, Excel, Paperclip and other law enforcement related computer programs as they come on line. Must be proficient in the use of typewriters, copy machine, calculator, and be able to use proper telephone etiquette.

Working Conditions:
Indoors in an office environment with some exposure to hostile and irate people.

Job Specifications:

Physical requirements:
May be required to sit or stand for long periods of time. Must be able to lift and handle files or boxes of records that may weigh as much as 25 lbs

Educational requirements:
High school diploma or equal.

Special skills:
Previous experience working with the public is desirable. Previous experience working with sensitive documents is desirable. Ability to communicate both verbally and in writing is mandatory. Must demonstrate the ability to be able to show discreetness in the handling of sensitive documents.

Experience required:
Education and or experience in clerical skills, desirable.

Training required after hiring:
Participates in continuing education as required by the Sheriff
